The Glasshouse Terrace Group Booking Terms & Conditions 

These are the group booking terms and conditions of One Circle Events Limited (Company Number: 11006506 with registered office at 6th Floor, 9 Appold Street, London, EC2A 2AP and whose trading address is at 40 Bermondsey St, London SE1 3UD and who trade as in respect of this event as ‘The Glasshouse”, (“OCE”, “we”, “us”, “our”). These terms, in conjunction with the terms and conditions of DesignMyNight (the “DMN Terms”) govern our respective rights and obligations in relation to your attendance at the venue known as “The Glasshouses” (the “Venue”) and your attendance of and enjoyment of the services provided to you as part of your group booking (the “Event”). Where these terms conflict with the DMN Terms, the DMN Terms shall prevail.

YOUR ATTENTION IS PARTICULARLY DRAWN TO THE PROVISIONS OF THE SECTIONS RELATING TO CANCELLATION, NO-SHOWS, YOUR OTHER OBLIGATIONS AND OUR LIABILITY TO YOU

Bookings

  • Excluding Occupiers of the London Bridge City Estate, The Glasshouse Terrace only accepts bookings of 50 and over on the roof terrace of the structure. 

  • Bookings are not accepted at the lower bar or The Pier with Aperol Spritz.

  • All booking inquiries for groups of 50 or more guests must be made through The Glasshouse Terrace website or by contacting our booking team at glasshouses@onecircle.co.uk.

  • Excluding Occupiers, all reservations must be secured with a secured full or partial payment for the agreed minimum spend. This payment is only refundable if the venue cancels within 24 hours of the reservation with no prior notice or if the event organiser cancels within the agreed time frame (Dependent on preorder requirements - either 24, 48 or 72 hours). 

  • In rare circumstances, such as private hire or in the case of poor weather, we may need to amend or move your booking. Should this happen, we will work closely with you to find the best possible alternative solution including moving the booking to a nearby sister venue, or moving the date of the event. 

  • Excluding Occupier, all group bookings will require a minimum spend and this amount will be confirmed at the time of your booking inquiry. This amount may be applied toward a pre-order and/or bar tab. Please note that the minimum spend must be met and is non-refundable.

Booking Time Slots 

  • Reservations are offered in specific time slots to ensure smooth service for all guests.

  • Please arrive on time for your booking. If you are running late, we kindly ask that you let us know as soon as possible so we can try to accommodate you. If you are more than 20 minutes late without notice, we reserve the right to reallocate your table to other guests. This will be considered a no-show, and you will not be refunded for any payments made. 

  • Our standard booking slot is 3 hours. If you require a shorter or longer time slot, requests can be made and may be granted at our discretion, depending on availability and group size. During busy periods, we may ask you to vacate your table after your allotted time to accommodate other guests.

Minimum Spend & Pre-Order Payments

  • If your booking requires a minimum spend, or if you have made a pre-order, payment must be settled prior to your reservation.

  • Payments can be made via bank transfer or credit card. Please note that credit card payments will incur up to 2.5% processing fee.

  • If full payment is not received by the due date, the reservation may be cancelled, and your initial deposit forfeited.

  • If your actual spend on the night exceeds the pre-paid amount, the remaining balance must be settled by credit or debit card by the event’s finishing time, unless alternative payment terms have been agreed to in writing before the event.

Catering

  • This venue primarily operates as a bar but a food offering of pizzas and ice cream are available. 

  • For clients seeking half of full venue hire, we offer bespoke catering options which we will arrange through our trusted catering partner upon request. 

  • We require guests to provide all dietary restrictions and allergy information in writing prior to the event. While we work closely with our caterers to ensure allergen labelling and accommodate dietary needs, the responsibility lies with guests if the incorrect allergy information is provided. We will take all reasonable precautions to avoid cross-contamination, but we cannot guarantee an allergen-free environment. 

  • Additional food and drink cannot be brought into the Venue, unless by prior agreement with the Venue’s management.

Cancellation and No-Show Policy

  • Cancellations

  • Groups 20-50

  • For cancellations made with less than 72 hours' notice, we will work with you to reschedule your reservation. However, if a suitable date is not available, your deposit and any prior prepayments made will be forfeited.

  • Groups over 50

  • For cancellations made with less than 1 week's notice, we will work with you to reschedule your reservation. However, if a suitable date is not available, your deposit and any prior pre-prepayments will be forfeited.

  • Important note on private event catering 

    • If you have  catering from our third party supplier as part of your private event, please notify us in writing at least 2 weeks in advance if you wish to make any changes or cancellations to your food order. Otherwise, we reserve the right to charge a cancellation fee of £100 + VAT.

  • No-Shows: In the event of a no-show without prior notice in the timeframe listed above, your deposit and any pre-payments will be forfeited. 

You acknowledge and agree that where we decide to retain initial deposits or other prepayments made or otherwise make additional charges to you on a cancellation or ‘no-show’, we do so to recompense us for the time and cost we incur and losing the opportunity to accept other bookings in your place (being a genuine pre-estimate of our losses in such circumstances). We understand that plans can change, and we appreciate your understanding of our cancellation policies, which help us manage demand and provide a high level of service to all our guests.

Table Allocation

  • While we do our best to accommodate specific allocation requests, we cannot guarantee particular tables or areas. Seating is allocated based on availability at the time of your booking.

Alcohol Policy 

  • We comply with all local licensing laws regarding the service and consumption of alcohol. Guests are not permitted to bring outside beverages onto the premises. We operate a challenge 25 policy, promote responsible drinking and reserve the right to refuse service to anyone who appears to be overly intoxicated or behaves in an overly boisterous or even disorderly manner.

Age Limits

  • Participants under the age of 18 must be accompanied and supervised by a parent, guardian, or responsible adult at all times while on the premises.

  • Due to our facility’s licensing agreement, only individuals aged 18 or older are permitted on the premises after 6:00pm. This policy is strictly enforced to comply with local licensing laws and regulations.

  • All participants and visitors may be required to present valid identification (e.g., passport, driver’s licence, or government-issued ID) upon entry to verify their age. Failure to provide suitable proof of age may result in denial of entry.

  • The Venue operates a strict no under 18’s policy for any corporate half venue and full venue hires. 


Your Other Obligations

  • You must observe at all times any reasonable restrictions or conditions which we wish to impose in relation to any matter concerning the Event and your presence at the Venue.

  • You undertake to comply (and to ensure that your guests comply) with all applicable laws, licences, regulations and policies in force at the Venue, including ensuring that no fire exits and routes are obstructed at any time.

  • All guests must comply with the Venue’s health and safety conditions as implemented from time to time. Any guest found to be not compliant will be refused entry to the Event or removed from the Event after entry. 

  • You may not use the Venue for any activities which are illegal, immoral, offensive or dangerous or which may become a nuisance to the owners or occupiers of any neighbouring properties.

  • We (and Venue security) reserve the right to refuse further service, eject from, or refuse admission to, the Venue to any person deemed in the reasonable opinion of our staff or security personnel to be intoxicated, unruly, threatening, violent, dangerous.

  • Any damage to, or theft of, property at the Venue (including furniture, fixtures and fittings and any other property of the Venue) caused by you or your guests will be charged to you at full replacement cost.  A cleaning charge may be charged in the event of sickness due to the inebriation of any member of your party. 

Our Liability to you

  • Except for death or personal injury arising from our negligence, so far as permitted by the law, we hereby exclude all liability for any loss, damage, cost and expense, whether direct or indirect, howsoever caused in connection with the Event. In particular, any personal arrangements that you make in connection with attending the Event are made at your own cost and risk (for example travel and hotel costs). We also exclude all liability for any loss, damage, cost or expense relating to any personal property brought by any guest to the Event, such property remaining that guest’s responsibility at all times. Subject to all of the foregoing, our liability to each guest shall be at all times limited to the cost of a single ticket to the Event. 

  • To the fullest extent permissible by law, we accept no liability whatsoever for any loss, damage or injury to your property, or the property of your guests or any other people for whom you are responsible. 

Force Majeure 

  • OCE shall not be liable for any failure or delay to you in performing its obligations under these terms where such failure or delay is caused by events beyond its reasonable control, including, but not limited to, acts of God, war, terrorism, civil unrest, strikes or labour disputes, government regulations or actions, pandemics, natural disasters, extreme weather conditions, equipment failure, power outages, or any other unforeseen events ("Force Majeure").

  • In the event of a Force Majeure event, OCE reserves the right to cancel or reschedule your booking. If you are affected by such cancellations, you will be offered the option to either reschedule your booking at a mutually convenient time or receive a full refund for any initial deposit or other prepayments made. OCE will not be held liable for any additional costs, losses, or damages incurred by you as a result of such cancellation.

  • The above notwithstanding, in the event of a Force Majeure, OCE will use reasonable endeavours to notify you as soon as possible of the situation and the steps being taken to address it.

General

  • All personal data collected by OCE as a result of your booking and/or your attendance at the Event will be collected and processed in accordance with our Privacy Policy. It is your responsibility to keep us up-to-date of any changes to your contact details prior to the Event. 

  • These Terms shall be governed by and construed in accordance with the laws of England and Wales. You hereby submit to the exclusive jurisdiction of the English courts to settle any dispute or issue arising out of or in connection with these Terms.  

  • These Terms constitute the entire and only agreement between us and supersede all previous agreements between us. If any of these clauses should be determined to be unenforceable then it shall be severed and deleted from these Terms and the remaining clauses shall survive and remain in full force and effect. 

Changes to these Terms

OCE reserves the right to amend or update this booking policy at any time. Any significant changes will be communicated to you through our website and via email if applicable.
